Terms of service
Effective 2 October 2026. The service is operated by Local Carpet Cleaning Pty Ltd, ABN 15 682 871 192. These terms govern use of the SWMS app at swms.policysystem.com.au and its ChatGPT tools. Contact support@policysystem.com.au with questions before using the service.
Accounts and authorised use
Use the service only if you are authorised to create the account and provide the information used in it. Keep your credentials secure, maintain accurate contact details and tell support about suspected unauthorised access. Do not attempt to access another person's records, bypass payment or access controls, upload unlawful material, or disrupt the service.
Drafting and PDF subscriptions
New users can prepare documents before subscribing. Creating and editing drafts through the ChatGPT tools is free. PDF download requires an eligible subscription in the app.
The advertised subscription is $20 AUD per month or $200 AUD per year. The checkout displays the applicable price, taxes, billing interval and payment terms before you subscribe. Subscriptions renew according to the checkout terms unless cancelled. Card information is entered into Stripe checkout, not ChatGPT.
Manage your subscription, payment method, invoices and cancellation through Billing in the app. Cancellation normally stops future renewal while access continues for the remaining paid period. Downloaded PDFs remain yours to use, subject to your responsibility to review and maintain their content. For billing errors or refund requests, contact support. Nothing here limits any refund or remedy required by law.
Safety documents and AI assistance
The service helps prepare SWMS, JSA and related draft content. AI can produce incorrect, incomplete or outdated information. You are responsible for ensuring the finished document reflects the actual site, work methods, equipment, personnel, hazards, controls and current requirements that apply to your work.
Have a competent person review the document and consult the workers carrying out the work before use. A generated document or risk rating is not approval to begin work, professional certification, legal advice, a worker's signature or a guarantee of compliance. The service does not replace your WHS duties or any required consultation, training, supervision, permits or site assessment.
Your content and connected services
You retain your rights in content you provide. You permit the service and its providers to process that content as needed to deliver the features you request. You must have permission to use personal information, company logos and other content you upload. Our handling of information is described in the privacy policy.
When you connect ChatGPT, you authorise its tools to read your account's document/business information and create or update drafts. OpenAI's own terms also apply to your use of ChatGPT. Third-party hosting, AI and payment services may affect feature availability. Disconnect the connection or ask support to revoke its grants when access is no longer needed.
Availability and service changes
Features may be unavailable during maintenance, provider outages or technical failures. Keep copies of documents required for your operations. We may restrict access to protect accounts or address material misuse. If an issue affects paid access, contact support so that it can be investigated and any applicable remedy considered.
Australian consumer rights
Nothing in these terms excludes or limits consumer guarantees, statutory rights or remedies that cannot lawfully be excluded, including under the Australian Consumer Law. The service does not promise that AI content is complete or suitable for a particular site without review. Any limitation arising from these terms operates only to the extent permitted by law.
Questions, disputes and updates
Contact support first about an account, document, payment or service issue. Describe the issue without sending passwords or full card details. Revised terms will be published here with an updated effective date. Material changes affecting an existing paid subscription will be addressed consistently with applicable law and the agreed payment terms.
